Italics means action items not done last week.
Strike through means items that will not be checked this week, but will be checked in the future.
Check availability for the meeting (4/15): Amanda will not be there.
Agenda (7:00pm):
Action Items
(1) Hardware improvements are mostly done. We will be focusing on driver training, especially the backup driver team for Wednesday (Patrick/Abhishek/Evan)
(2) Software (Brandon/Patrick): autonomous mode needs more fine tuning after some of the adjustment of hardware
— We tried new IMU sensor last night. No immediate results yet. So will continue using the existing sensors on robot.(3) CAD:
— complete the current CAD model (Justin)
— update CAD video with latest model (Justin)
— complete blue prints for the assigned parts and put into 4/1 engineering notebook entry (Jerry/Abhishek)(4) Scouting:
— The formula for autonomous parking and endgame capball needs further work. It gives the numerical values now but not correctly reflecting the average (we changed the key for autonomous parking to be 1 for both corner and center and use points or capball for better understanding) (Amanda)
— Shrink the match scouting sheet to double content (there are 2 tables in one sheet now, make it 4 tables, portrait might be better). There are 128 teams and 2 divisions. So 64 teams in one division, there will be 144 matches all in total. With four tables on one sheet, we only need 36 double sided pages (can print 40 in case) (Amanda)
— Justin will be on pit duty on Wednesday and perform team scouting as other teams visiting us. Austin will be going out to other teams for team scouting (need to borrow Amanda’s team shirt). We need a google sheet to show all 64 teams in the division so Justin and Austin can mark them off as scouting completed so we don’t repeat the same work. (Amanda)
— Here is the current duty assignment. We are really tight on Wednesday and Thursday. We need parents help to do match scouting which should not trigger any questions since they are going to sit in the audience to record the matches). Will discuss with parents during next team meeting when parents coming for logisticsInline image
(5) Pit area:
— Update Robot reveal video and Match moments video (Evan)
— arrange all videos in a proper folder on the laptop so others can pick and play (Justin)
— navy blue table cloth with team logo (completed, thanks to Evan’s Dad over 10 hours of work on this. Looks very nice and professional)
— Tent painted with team logo (Evan’s Dad is working on it)
— Team flag with team logo (Evan’s Mom is working on it with the old table cloth and newly purchased flag pole)
— Gold and White balloons (Amanda)
— Pit giveaways. I ordered 200 wrist band converted key chains with our team logo and FLYSET website ($100 total)
— Candy machine (prototype of simplified version is completed and need to make it bigger to hold more candies/coins and have a nice color coordination) (Max/Austin/Ray)
— TJBot Demo (laser cut cover is on the way) (Coach)
— Cart decoration: the banner design is submitted. LED strips are here. I didn’t order full length yet. Just some initial order to see how it looks. Needs to know how much more to order. (Evan)
— bring your team shirt, polo shirt, Texas flag socks and Khaki shorts/pants (All older team members)
— Bandana: they arrived and Amanda’s Dad confirmed that they have an ink jet printer. We did some initial research on amazon. The right one should be this HTV:
https://www.amazon.com/EasyWeed-Transfer-12-Color-Starter-BUNDLE/dp/B0127RTOYQ/ref=pd_sim_201_2?_encoding=UTF8&pd_rd_i=B0127RTOYQ&pd_rd_r=3HGN2YGK9SA3AK3TK4H4&pd_rd_w=2TleV&pd_rd_wg=KQ2Ta&psc=1&refRID=3HGN2YGK9SA3AK3TK4H4
But it needs special cutter machine to cut the design or we have to cut by hand which is almost impossible with gear. All regular heat transfer paper for dark color will be iron on the fabric. All white background will see through. Or we print on navy blue background then it may not be exactly matching the bandana navy blue color. Any other suggestions? (All)(6) Team presentation and materials
— Complete Engineering Notebook up to date (Samuel)
— Update control award sheet if needed (Brandon)
— Update BOM sheet (Abhishek)
— Update presentation slide (Abhishek/Justin): Abhishek, you missed quite a few points we talked on Thursday. Did you take notes?
— Team presentation rehearsal (All at next team meeting: although only half team going in judging session, all teams members need to be aware of the adjustment of our new presentation and the focus. Judges are visiting pit area and may talk to anyone in the pit)
— Update Robot Flyer: (All at next team meeting)(7) Logistics:
— Latest availability updates: Anthony is not going. Justin has the constraint of only missing one day of school. He chose to miss Wednesday because we are really really tight on resources on Wednesday. He will come on Tuesday night and go back on Wednesday night. Then come again on Friday night. Really really appreciate him and his family for taking the extra effort to support team. Amanda’s family comes on Friday and he probably can share the ride so his Dad doesn’t need to drive two trips to Houston.
— Patrick’s Dad needs to leave immediately after lunch on Tuesday so he can get in around evening to check on the robot for any loosing screws etc. Abhishek needs to go with Justin’s family.
— Here is the current hotel room assignment with all latest updates. Please double check to make sure. P means parking
Tuesday night at residence inn: Me (P), Patrick (P), Justin (P), Jerry (P), Brandon (P), Abhishek, total 6 rooms and 5 Parking
Wednesday night at spring hill: Me (Px2), Patrick (P), Jerry (P), Brandon (P), Abhishek, Evan (P), total 6 rooms and 6 parking
Thursday night at spring hill: Me (Px2), Patrick (P), Jerry (P), Brandon (P), Abhishek, Evan (P), Melody (P), total 7 rooms and 7 parking
Friday night at Spring Hill: Me (Px2), Patrick (P), Jerry (P), Brandon (P), Abhishek, Evan (P), Melody (P), Amanda (P), Justin (P?), total 9 rooms and 9 parking
Saturday night at Spring Hill: Me (Px2), Patrick (P), Jerry (P), Brandon (P), Abhishek, Evan (P), Melody (P), Amanda (P), Justin (P?), total 9 rooms and 9 parking(8) Team rules (ALL) clarification:
— if you are not sure about your status details are good enough to not impact team progress, send status email earlier and leave time for receiving feedback. I will try my best to watch out for your email and reply. I did reply back to Amanda’s email within 5 minutes yesterday.
— I will not count Monday email as status updates email unless it shows you completed everything which means no further update is required. A status update email is towards end of the week to report your progress so we know where you are and allow us to balance further workload. We don’t want to guess you complete the task or not.Brandon, could you please pull the team super regional performance into team google spreadsheet for the same division as you did before super regional, but this time, only pull the super regional performance?
7-8pm: older team members driver training
younger team members collect team information for TJBot. Bring your laptop to work
parents and coach finalize the logistics
